KEY RESPONSIBILITIES

 

Research and Development.

Project Implementation and Project Management.

Stakeholder Management.

Interact with various stakeholders including addressing and capturing of queries, concerns and issues.

Deal with stakeholders at various levels, i.e. Government, NGOs and Communities etc.

Work Closely with Local Facilitator, Project Manager on local issues.

Conduct environment scanning to feed into KDD stakeholder engagement plan and reporting.

Provide monthly report for record keeping purposes.

Liase with, and assist, the technical team.

Overall Job Purpose : To undertake cleaning duties as directed by the Cleaning Supervisor, using the prescribed methods and frequencies in line with the requirements of the cleaning specifications.

 

KEY RESPONSIBILITIES

 

Emptying waste bins or similar receptacles, transporting waste material to designated collection points.

Clean all the offices; venues; general kitchens; corridors, elevators, public areas and restrooms as per the daily/ weekly schedule.

Prepare facilities for meetings and training.

Cleaning walls, windows, and doors as well as emptying and cleaning waste bins.

Using electrically powered scrubbing and polishing machines to burnish, scrub, polish and spray clean floors (after receiving proper instruction and training).

Using electrically powered pick up machines.

Dust, damp wipe, wash or polish furniture, ledges, window sills, external surfaces of cupboards, shelves and fitments.

Replenish consumable items (soap, toilet rolls, paper towels) used at various points of cleaning service.

Clean toilets, urinals, hand basins, sinks, baths, showers and drinking fountains.

Use of chemical agents as directed by the Supervisor Cleaning in the discharge of cleaning operations or maintenance procedures, after receiving proper instructions and training.

Adhere to the cleaning checklist and ensure that it is completed and signed daily.

Cleaning of machines and equipment after use.

Report all faults or broken cleaning machines and equipment to the Supervisor Cleaning for repairs.

Ensure that the issue forms are correctly filled in when collecting products and equipment.

Ensure that the appropriate CGS personal protective equipment (PPE) is worn according to the task performed.

Adhere to the Occupational Health & Safety Act and related regulations when utilizing tools equipment and machinery.

Financial and Fiscal Commission (FFC) is seeking to appoint an energetic and goal driven

individual with strong financial management skills into the Financial and Procurement

Officer position on a permanent basis, who will share and support the new path and

transformation goals of the FFC. The details of this position are as follows:

1. THE PURPOSE OF THE POSITION

Reporting to the Chief Financial Officer, the purpose of the Financial and Procurement Officer

is to provide a professional financial accounting and procurement support service in

compliance with all relevant FFC financial policies and procedures and to develop, implement

and maintain the supply chain management system, and oversee and manage the overall

supply chain management operations, including; demand, acquisition, logistics, disposal,

supplier performance and risk management.

2. LOCATION: GAUTENG OFFICE

3. MINIMUM REQUIREMENTS

• Bachelor’s degree/diploma in Finance or equivalent NQF Level 6;

• 5-10 years’ experience in similar position,

• Experience in application of Supply Chain Management Framework, Public Finance

Management Act (PFMA), Broad-Based Black Economic Empowerment (BBBEE),

National Treasury Regulations, Preferential Procurement Policy Framework Act

(PPPFA) and other procurement prescripts and regulations;

• Experience in contract and inventory management.

• Advanced computer literacy (excellent MS Excel skills)

• Exposure to relevant financial packages – Pastel, Accpac, etc

• High levels of analytical and problem resolution skills

 

• Up to date with current accounting standards and tax legislation;

• Strong interpersonal and verbal/written communication skills and;

• Demonstrated ability to undertake multiple priorities within the required timeframes.

4. KEY RESPONSIBILITIES

The key outputs of the Financial and Procurement Officer are as follows:

• Prepare initial and final monthly Trial Balance, Income Statement, Balance Sheet and

General Ledger and check all routine monthly expenses have been captured.

• Review Suppliers Ledger and check supplier balances. Assist with attending to queries

regarding supplier balances.

• Prepare a monthly report on Trends of Creditors for submission to the Chief Financial

Officer.

• Prepare Audit File – Trial Balance, General Ledger, Suppliers Ledger, all Reconciliations,

Service Provider Contracts and Fixed Asset Register.

• Ensure that predetermined petty cash float is maintained.

• Ensure that relevant Pastel Accounting System updates are implemented and, where

necessary, contact service providers to assist with updates.

• Implement daily and monthly backup requirements on the Pastel Accounting System.

• Ensure that purchase order transactions have been allocated to correct cost center.

• Ensure that purchase order numbers have been allocated to correct invoices.

• Check that relevant signatures have been obtained for approval and authorisation of

purchase orders.

• Ensure that all other relevant purchase policy and procedure requirements have been

complied with.

• Interpret and establish standardised FFC Procurement policies and procedures.

• Coordinate procurement of all FFC goods and services and ensure compliance with

prescribed procedure and FFC SCM Policies;

• Manage the inquiry, tender and contractual processes to reduce and eliminate financial,

safety, environmental and legislative risks.

• Develop and maintain a Procurement record keeping system for all SCM

documentation and activities ensuring compliance with relevant internal and legislative

record keeping requirements.

• Prepare and submit monthly, quarterly and annual Procurement / SCM Reports to the

Chief financial Officer.
